PTO balance
Earned per pay period
Earned per year
Worked example
An employee earns 15 days of PTO a year on 8-hour days, paid biweekly, and is 13 pay periods into the year.
Yearly PTO = 15 × 8 = 120 hours
Per pay period = 120 ÷ 26 = 4.62 hours
Balance = 4.62 × 13 = 60 hours, or 7.5 days
Check your own policy
Your handbook or offer letter is the source for your accrual rate, cap and carryover. Your pay stub is the record of your balance, so check the result against it. Some policies grant PTO in one lump at the start of the year, which this calculator does not model.
Frequently asked questions
How do you calculate PTO accrual?
Divide your yearly PTO hours by your pay periods. A policy of 15 days a year with 8-hour days is 120 hours, which is 4.62 hours per biweekly pay period.
Does federal law require PTO?
No. The Department of Labor says the Fair Labor Standards Act does not require payment for time not worked, such as vacations, sick leave or holidays. These benefits are a matter of agreement between employer and employee. Some states and cities have their own paid sick leave laws.
How is PTO earned per hour worked?
Some policies give one hour of PTO for a set number of hours worked. Enter that number and your hours per pay period, and the calculator works out the rate. Your handbook or offer letter sets the number.
Does PTO stop building up at a cap?
It can. Many policies set a maximum balance, and you stop earning until you use some. Enter your cap to see its effect. Leave it at 0 if your policy has none.
Is unused PTO paid out when you leave a job?
It depends on your state and your employer's policy, and federal law does not require it. See final paycheck laws by state for when final wages are due.
Is PTO taxed?
Yes. PTO pay is taxed as wages, and a payout is taxed too. Use the paycheck calculator to estimate take-home pay.
