Use a work order before you invoice

Use the work order to schedule and assign a job. If the job originated from a purchase order, link the two. Once the work is done, log staff hours with the Timesheet Generator and bill the client with the Invoice Generator.

What to include on a work order

  • Job or task description — what needs to be done.
  • Scheduled date and time — when the work is planned.
  • Site or client address — where the job takes place.
  • Assigned staff — who is responsible for the job.
  • Sign-off line — for confirming completion once the work is done.

Frequently asked questions

What does a work order document?

A work order records the job to be done — a task list, the scheduled date, the site or client address, and who is assigned to the job. It is an internal or client-facing scheduling record, not a bill.

When does a work order become an invoice?

Once the scheduled work is complete, convert the same job details into an invoice to bill for it. Keep the work order on file as the record of what was agreed and performed.

Does a work order need customer approval before the job starts?

Not always required, but it's good practice. Having the client or an internal manager sign off on the work order before the job starts avoids disputes later about what was actually agreed.
