Part of the order-to-ship workflow
Use a packing slip to confirm shipment contents once an order is ready to go out. If the shipment starts with a purchase order, or the work is scheduled as a work order first, link those documents together. Bill for the goods separately with the Invoice Generator.
What to include on a packing slip
- Shipment date — and an order or PO reference number, if one exists.
- Itemized contents — description and quantity of everything in the box.
- Shipping address — where the shipment is headed.
- Partial-shipment note — if the order is being fulfilled across more than one delivery.
Frequently asked questions
What is a packing slip for?
A packing slip confirms exactly what was shipped in a package — item descriptions, item codes, and quantities — so the recipient can check the contents against their order. It travels with the shipment or is included in the box.
How is a packing slip different from an invoice?
A packing slip lists what was shipped; it does not show prices or request payment. An invoice is the billing document that states amounts owed. Many shipments include a packing slip in the box and send the invoice separately.
Does a packing slip need to match the purchase order exactly?
It should. A mismatch between the packing slip, the purchase order, and the eventual invoice — a "three-way match" — is exactly what accounts-payable teams check for before approving payment, so discrepancies in quantity or item description can delay payment.
