Correcting an invoice

Reference the original document when you issue a credit memo. If the original was billed with the Invoice Generator, link back to its invoice number. Need to show the client's running balance after the credit is applied? Use the Statement of Account Generator. Once a credit is settled or a partial payment comes in, confirm it with the Receipt Generator.

What to include on a credit memo

  • Reference to the original invoice — number and date of the invoice being corrected.
  • Reason for the credit — return, refund, overcharge, or cancelled service.
  • Itemized credited amount — matching the affected line items on the original invoice.
  • Sales tax reversal — proportional to the credited amount, if the original charged tax.
  • Credit memo number and date — distinct from your invoice numbering.
  • Remaining balance — what the client still owes after the credit is applied.

Frequently asked questions

When should I issue a credit memo instead of a refund?

Issue a credit memo when you want to formally reduce or cancel an amount owed on a specific invoice — for a return, an overcharge, or a cancelled service — without necessarily sending cash or a card refund back to the client. If the client already paid and you are returning money directly, a refund (or a credit memo plus a refund) is more appropriate. Many businesses issue a credit memo and let the client apply it against a future invoice instead of refunding cash.

Does a credit memo need to reverse sales tax too?

Yes. If the original invoice charged sales tax on the amount you are crediting, the credit memo should reverse that tax proportionally to the credited amount — not just the pre-tax price. Reducing only the subtotal without adjusting sales tax will overstate what you actually owed the state on that sale.

Does a credit memo need its own number?

Yes — give each credit memo its own sequential number, separate from your invoice numbers, and always reference the original invoice number it corrects. That keeps your recordkeeping traceable if the credit is ever reviewed.
