What to include on a statement of account

  • Client name and billing period — the date range the statement covers.

How is the outstanding balance calculated?

Each invoice row tracks its own amount and amount paid; the balance is amount minus paid (floored at $0). The statement totals invoiced, paid, and outstanding across every listed invoice.

How often should I send a statement of account?

Monthly is standard for clients with recurring invoices, so both sides can reconcile before the next billing cycle. You can also send one anytime a client has several open invoices and needs a single point-in-time summary.

Does a statement of account replace individual invoices?

No — a statement summarizes invoices that were already issued; it is not itself a bill for new charges. Keep issuing individual invoices for new work, and use the statement to track what remains unpaid across all of them.
