Quote to invoice workflow
Price the work with a quote, get client approval, then bill with the Invoice Generator. Need pre-sale paperwork that looks more like a bill before the final invoice? Use the Proforma Invoice Generator instead.
What to include on a quote
- Business and client contact details — so both sides know exactly who the quote is for.
- Quote number and issue date — for your own tracking and to reference later if it turns into a job.
- Validity date — how long the pricing holds, typically 14–30 days.
- Itemized scope and pricing — each service or product with its estimated cost.
- Estimated sales tax — only if you already know the sale will be taxable in the client's state.
- Terms — deposit requirements, revision policy, or anything else the client should know before accepting.
Frequently asked questions
What is the difference between a quote and an invoice?
A quote is sent before work begins to outline proposed pricing and scope — it is not a request for payment. An invoice is issued after the work is completed or goods delivered, and it formally requests payment. Quotes typically include a validity date; invoices include a due date.
How long should a quote stay valid?
Most small businesses set a 14-30 day validity window to account for material cost or labor rate changes. This generator defaults "Valid Until" to 30 days from the quote date — adjust it to match your own pricing terms.
Should a quote include sales tax?
Only if you know the sale will be taxable in the client’s state. Since sales tax is state and local (not federal), many businesses estimate it at 0% on a quote and confirm the exact rate on the final invoice.
Can a client accept a quote as a binding agreement?
A quote is usually an offer, not a binding contract on its own. To lock in terms before starting work, many businesses convert an accepted quote into a Service Agreement Summary, or simply proceed straight to the Invoice Generator once the client confirms.
What if my costs change after I send a quote?
If costs rise before the client accepts, send a revised quote with a new date rather than editing the original — that keeps a clear record of exactly what was offered and when, in case the price is ever disputed later.
